How to get customers to rebook their boiler service every year
Last updated: 6 October 2026
Why don't customers rebook?
Most people do not think about their boiler until something goes wrong. A yearly service is easy to forget, and if nobody reminds them they may end up with whoever they find first, or not book at all. A reminder from you, at the right time, puts you back at the front of their mind.
1. Set the next service date while you are on site
Before you leave, note the boiler make and model and the date the next service is due. It takes a minute, and it is far easier than trying to remember later. Tell the customer when they should expect to hear from you.
2. Contact them before the service is due
Do not wait for the due date. Contact them a few weeks before so they have time to book a slot that suits them. See when to send boiler service reminders for suggested timing.
3. Make booking one step
A reminder that makes the customer work out what to do loses bookings. Say who you are, which boiler it is for, and exactly how to book, such as "call or text me on this number". The fewer steps between the message and a booked appointment, the more people will take it.
4. Keep the message personal
Use the customer's name, their boiler, and your own name or business. A message that looks like it came from you reads better than a generic one. Keep it short and friendly.
5. Follow up once
If there is no reply, a second reminder a week or two later catches the people who meant to answer and forgot. After that, leave it, and make sure you respect anyone who asks you to stop.
6. Give them a reason
Many boiler manufacturers ask for an annual service to keep a warranty valid, and landlords must have a gas safety check every year. Annual servicing also helps catch faults early and keeps the appliance working well. A short line about why it matters can help hesitant customers decide.
7. Make it automatic
Doing this by hand works for a handful of customers, but it gets harder the more you have. Automating the reminder means it happens even when you are busy on the tools. Whichever way you do it, make sure you follow the rules on texting customers.
