When should you send a boiler service reminder?
Last updated: 6 October 2026
What is a good lead time for homeowners?
There is no official rule for private homeowners, so this is a practical suggestion rather than a regulation. About four to six weeks before the due date gives the customer time to fit in a visit, and gives you time to plan your diary. Much earlier and people forget again. Much later and your slots may be gone.
Should I send a second reminder?
Yes, one follow-up is usually enough. Send it one to two weeks after the first if you have not heard back. Many people mean to reply and forget, and a second message catches them without becoming a nuisance.
What about the time of year?
Summer and early autumn are commonly recommended for servicing, because engineers are usually less busy and customers do not yet depend on their heating. If you can steer customers toward those months, you spread your workload and avoid the winter rush.
How early can landlords' gas safety checks be done?
Landlords in Great Britain must have a gas safety check done every 12 months. The check can be carried out between 10 and 12 months after the previous one without changing the original expiry date. So for landlord customers, contacting them around two months before the record expires gives them a full window to book. A gas safety check is not the same thing as a boiler service. See our guide to landlord gas safety check reminders.
What time of day should I send it?
There is no legal rule on the hour for service-type reminders, but sending during normal daytime hours is polite and tends to get a better response than late evening.
Keep your own records
Whatever timing you choose, note the due date when you finish the job, so the reminder is never missed. See how to keep track of annual boiler services.
The four-to-six-week timing is our suggestion based on how booking works in practice, not an official figure. Adjust it to suit your diary.
